About the Role: As a Personal Assistant / Senior Administrator, you will play a vital role in supporting our Partners, building strong client relationships, and delivering exceptional secretarial and administrative support. You'll also manage our Practice's Social Value initiatives and help achieve related goals and targets.

Key Responsibilities:

Clients:

Proactive diary management for two Partners, creating detailed daily itineraries with relevant information.
Efficient email management: reading, forwarding, responding, flagging actions, and archiving as needed.
Maintaining a precise action list for Partners with clear deadlines and accountability.
Organizing domestic and international travel arrangements.
Providing ad hoc support, including minute-taking, filing, and screening telephone calls.
Coordinating new opportunities and business actions for Partners.
Assisting with research and presentation preparation.
Managing and updating the client database.
Overseeing Birmingham's Social Value goals and initiatives.People:

Arranging regular internal meetings with Studio Leads for each Partner.
Monitoring and approving annual leave for Studio teams, highlighting potential clashes or project deadlines.Finance:

Managing Partners' expenses, ensuring compliance with company policies and accurate record-keeping.
Preparing purchase orders on Rapport and being aware of office and project budgets and authorisation limits.
Assisting the Finance team with month-end requirements, including time sheet and sales invoice submissions.
Championing all modules on Rapport (ERP system) and providing training where required.Quality:

Confirming IT requirements for room bookings to ensure proper setup.
Mastering internal office systems (Rapport, Newforma), promoting their use and quality management.
Assisting with preparing information to maintain ISO 9001/14001 accreditation.
Maintaining project information on Rapport for marketing and communication opportunities.Qualifications:

Level 3 Business Administration or equivalent.Knowledge & Experience:

At least 3 years in a PA or senior administrative role.
Proficiency in Microsoft Office 365 applications (advanced level).
Familiarity with Rapport, Newforma, or other CRM applications.
Experience with Adobe suite applications.
Experience working in a busy office environment.Personal Attributes:
