The role

Orbit are excited to announce that we are looking to recruit into the newly created position of Board and Committee Secretary. In this role you will be providing an efficient and effective secretarial service to the Group Boards and Committees and support the smooth running of their business activities.   The role is responsible for the efficient flow of information, minutes and actions that are critical to the Boards, Committees and Executive Team’s decision making and provision of strategic direction to the business. 

This role is part of Corporate Services where you'll help us give colleagues the support they need to be brilliant.

What you'll achieve

In this Board and Committee Secretary position you will be responsible for the secretarial and administrative services to all boards and all committees where you will manage the board and committee meeting schedules as well as the company secretarial calendar.

Your key responsibilities will be to:

Organise and manage documentation for board and committee meetings and events via the board portal and email.

Preparation of meeting agendas, minutes, resources and action trackers.

Organise and plan meetings and events including issuing invitations, booking venues, catering arrangements and travel arrangements.

Attend board and committee meetings which will include travel and some overnight stays for the postholder.

Provide an effective minute taking service and track actions and progress at board and committee meetings.

Provide timely and effective management of the board portal including user licences, training and queries.

Handle routine and sensitive correspondence and draft appropriate responses ensuring a degree of confidentiality and discretion is adopted.

What you'll bring

To be successful in this role of Board and Committee Secretary you will need to be able to travel to London and other office locations with overnight stays included. You will need to have previous and extensive Board and Committee secretarial experience servicing Group Boards and/or Committees.

Essential skills

Proven ability to transcribe meetings and produce effective minutes.

Demonstrable experience dealing with sensitive and confidential information.

Proven experience of organising, planning and executing board and committee meetings and events

Research and report writing ability.

Ability to always maintain confidentiality and discretion.

High standard of spoken communication and written communication, with particular emphasis on attention to detail (spelling and grammar)

Ability to develop and maintain effective relationships with a wide range of people including staff, Board, members, stakeholders from other organisations and external suppliers.

Desirable skills

Experience of working for a Housing Association, Charity, or similar organisation

Ability to develop efficient modern office/administrative systems.

Experience of project management
