Objectives of the Post:

To provide a customer orientated planned, cyclical, void property and responsive repairs service which ensures value for money and maintains our Client’s investment in its property portfolio. In particular to monitor the performance and quality of contractors, ensuring agreed standards and financial requirements are achieved.

KEY TASKS

Delivering our Clients's responsive, void property, planned and cyclical maintenance works, including formulating programmes of work, procuring via formal contracts, managing on site and authorising payment on completion.

Receive, evaluate, authorize and take action on responsive, void property, planned and cyclical repairs as per-agreed policies, procedures, standing orders and financial regulations.

Undertake one off repair and structural surveys, diagnosing remedial works required, scheduling and raising the works with appropriate contractors and managing through to completion

Carrying out joint pre and post void property inspections with contractors.

Undertake pre and post inspections of maintenance work to ensure the appropriateness of repairs being ordered and that contractors are performing to the required KPI’s, resolving any arising issues.

Arrange and attend meetings with contractors to both monitor and provide feedback on performance and other associated issues.

Monitor all works against agreed budgets taking appropriate action on variance.

Check and process invoices/certificates in a timely manner.

Identify, submit and progress insurance claims for maintenance and repair items.

Identify rechargeable repairs and prepare costing information to enable payment to be pursed with the responsible party.

Deal with all complaints in respect of the maintenance service appropriately and in a timely manner, ensuring they are resolved as quickly and effectively as possible.

Implementing and monitoring our Client's policies and procedures in respect of cyclical compliance works. e.g., annual gas servicing, electrical safety testing, asbestos management, energy performance certification to ensure compliance with all applicable legislation.

Ensure the effectiveness of the 24 hours repairs call out service provided by contractors. This will involve being available out of normal working hours on occasion.

Prepare written reports, schedules of work and other correspondence in respect of maintenance issues to contractors, customers and staff.

Maintain digital files in respect of all work undertaken.

Update spreadsheets, data bases and computerized systems in respect of maintenance service.

Maintain high standards of Health & Safety in accordance with our Client's policy and legal requirements.

Keep up to date on all matters concerning building materials, methods and contractual issues relating to maintenance.

Implement the association’s Equal Opportunities policies in all relevant parts of the work of the post.
